We respect your privacy and are committed to keeping your information safe. This policy explains what data we collect, how we use it, and the choices you have.

Information We Collect

We collect only the minimum information needed to operate the service:

  • Email address (for account creation, login, and essential communication)
  • Password (stored in hashed form, never in plain text)
  • SmugMug OAuth access tokens (to read your albums and write keywords on your behalf)
  • Album identifiers or URLs (to run scans)
  • Temporary image files used during scanning
  • Scan results (bib numbers, metadata)
  • Payment metadata such as amount, timestamp, and status. All payment processing is handled securely by Stripe. We do not store credit card numbers.

We do not collect names, addresses, phone numbers, or any other personal information.

Cookies and Sessions

We use session cookies solely for authentication purposes, to keep you logged in while using the service. We do not use tracking cookies or third-party analytics cookies.

How We Use Your Information

We use your information only to:

  • Authenticate your account
  • Process image scans and generate tagging results
  • Communicate about account or billing issues
  • Maintain and improve the service

We do not use your data for advertising, profiling, or analytics.

Billing and Image Processing

Billing is based on the number of images analyzed. Images with no detected bib numbers still count as analyzed because they require full processing.

Scanning incurs a cost, but tagging does not. You can adjust settings and re-tag as many times as you like at no extra charge.

Once an image has been scanned, it will not be billed again unless you explicitly choose to rescan it. In most cases, rescanning is unnecessary.

Data Retention

  • Temporary image files are deleted automatically after scanning is complete.
  • Scan results are retained (up to 100 albums) so the service can skip already-scanned images in future runs. You can manually purge scan data at any time from your Settings page.
  • Your email address and account information remain on file until you request account deletion.

Third-Party Services

We share data with the following third parties, solely to operate the service:

  • SmugMug — We access your albums and images via the SmugMug API using OAuth tokens you authorize. We read image data for scanning and write keywords on your behalf.
  • Stripe — Payment processing is handled by Stripe. We send billing amounts to Stripe but never handle or store your credit card details.

We do not sell or share your data with any other third parties.

What We Don't Do

We do not:

  • Sell or share your data beyond what is described above
  • Use your images or metadata for AI training
  • Store payment card information
  • Track you across other websites
  • Use third-party analytics tools

Children's Privacy

This service is not intended for anyone under the age of 18. We do not knowingly collect information from minors. If you believe a minor has created an account, please contact us so we can remove it.

Your Rights

You may request at any time to:

  • Delete your account
  • Delete your stored data
  • Request a copy of your data
  • Update your email address

We will respond promptly to all requests.

Security

We use industry-standard security practices to protect your data. Passwords are stored using secure one-way hashing. While no system is perfect, we take reasonable steps to safeguard your information.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the service or by email. Continued use of the service constitutes acceptance of the updated policy.
